Encouraging clients to renew their coaching packages

Replacing leaving clients takes up a huge amount of time and energy. You have to market your services, run free consultations and write completely new programmes from scratch.

Keeping your current clients happy is far more profitable. When you establish a solid renewal process, you spend less time selling on social media and more time actually coaching on the gym floor. Learning how to get clients to renew personal training packages is the secret to building a highly stable fitness business.

Deliver an excellent service daily

No sales tactic will save a terrible coaching service. If you arrive late, stare at your phone during sessions and forget to reply to check-ins, clients will leave.

You must deliver massive value every single week. Greet them with enthusiasm. Keep detailed notes on their injuries and their personal lives. Ask about their dog or how their holiday went.

When a client feels genuinely cared for, leaving becomes a very difficult emotional decision. They stay because they enjoy your company just as much as they enjoy the physical results.

Plant the seed early

Do not wait until the final session of a 12 week block to mention the future. Surprising a client with a sales pitch creates awkward pressure.

Start talking about the next phase around week 8. While they are resting between sets, casually mention what you want to work on next. Say something like, "Once we finish this strength block, we should really focus on improving your cardio for the summer."

This plants a subconscious seed. It shifts their mindset from viewing the coaching as a short-term fix to seeing it as a long-term journey.

Run a formal progress review

Clients need reminding of exactly how far they have come. They often forget how weak or unhappy they felt when they first hired you.

Schedule a formal sit-down review in week 10 of their package. Buy them a coffee or jump on a 15 minute video call. Pull up their initial starting data.

Show them their first progress photo next to their current one. Remind them that they could not squat an empty bar 3 months ago, and now they are lifting 60 kilograms. Proving the undeniable value of your service makes asking for a renewal incredibly easy.

Set exciting new goals

Once you celebrate their past wins, immediately pivot to the future. A client will only hand over more money if they have a clear target to aim for.

Ask them what they want to achieve over the next 6 months. If they just lost 10 kilograms, they might want to focus on building muscle or running a local 10k race.

Outline exactly how you will help them reach this new target. Say, "If you sign up for another block, we will switch the programme to focus heavily on your running pace." When the future looks exciting, they will gladly sign the paperwork.

Make the payment process simple

When a client verbally agrees to stay, you must collect the payment quickly. Any friction here gives them time to second-guess their decision.

Do not send them a complicated new contract to print and scan. Send a simple payment link directly to their phone while they are still standing in the gym.

If they pay via direct debit, confirm that the payments will simply continue on a rolling monthly basis. The easier it is to pay, the faster the money hits your account.

Keep their history accessible

Showing a client their long-term progress requires you to actually have that data saved safely. Digging through old WhatsApp messages to find a photo from last year looks deeply unprofessional.

Fettle handles client tracking, check-ins and programmes centrally. Having 6 months of habit data, measurements and workout logs available at the push of a button makes your week 10 reviews highly persuasive.

When clients see a professional dashboard tracking every step of their journey, they realise they cannot get this level of detail anywhere else.

Frequently asked questions

When exactly should I ask them to renew?

Ask them during week 10 of a 12 week package. This gives them 14 days to sort out their finances without feeling rushed. It also gives you enough time to fill their slot if they decide to leave.

What if they say they cannot afford it anymore?

Never guilt-trip them about money. Offer a cheaper alternative to keep them in your ecosystem. If they cannot afford 3 sessions a week in person, suggest they drop to 1 session a week or move to your online coaching package.

Should I offer a discount for renewing?

Avoid dropping your hourly rate. Instead of a cash discount, add extra value to reward their loyalty. You could offer a free custom nutrition guide or an extra 30 minute mobility session if they commit to another 3 months.
